Short answer

A general-purpose task chair adjusts through 16 to 21 in (41 to 53 cm) of seat height, measured to the compressed cushion at the front edge, on a base 26 to 27 in (66 to 69 cm) across. BIFMA G1 asks for roughly 16 to 20.5 in (41 to 52 cm) of range so the chair suits a 5th percentile woman and a 95th percentile man. Below 16 in the thighs lift off the seat; above 21 in most people lose the floor.

An office chair is sold on its features and used on four dimensions: how high the seat goes, how deep it is, how far the arms sit above it, and how much floor the base needs. Three of those are printed on the spec sheet. The fourth, the one that decides whether the chair fits the room, almost never is.

Seat height is measured compressed, at the front edge#

Seat height is the vertical distance from the floor to the top of the compressed cushion at the front edge of the seat, with a person on it. Three things go wrong with that.

The first is compression. A foam seat sinks 1 to 1.5 in (25 to 38 mm) under an average adult, and a mesh deck can sink 1.5 to 2 in (38 to 50 mm). A chair catalogued at 17 to 21 in (43 to 53 cm) unloaded delivers about 15.5 to 19.5 in (39 to 50 cm) in use, and that missing inch and a half is the difference between reaching the desk and not.

The second is the front edge. Almost every task seat is dished and tilted back by 3 to 5 degrees, so the rear of the pan sits 1 to 2 in (25 to 50 mm) lower than the front. The front edge is the number that matters, because it is where the underside of the thigh crosses on its way to the floor.

The third is the floor. A chair measured on a hard floor gains nothing, but on a 12 mm (1/2 in) carpet and underlay the castors sink into the pile and the seat drops by 1/4 to 1/2 in (6 to 13 mm). Combine all three and a chair can arrive 2 in (50 mm) lower than its label, which is why the sensible check is a tape measure under a seated body rather than a specification.

Popliteal height of 14 to 19.3 in, and a 4 in cylinder#

The governing body dimension is popliteal height: floor to the underside of the knee, seated. It runs from roughly 14 in (36 cm) for a 5th percentile woman to 19.3 in (49 cm) for a 95th percentile man. Add a shoe at about 1 in (25 mm) and the required seat heights are 15 to 20.3 in (38 to 52 cm). Round outwards and you have the familiar 16 to 21 in (41 to 53 cm) band, which is what BIFMA G1 recommends as an adjustment range and what the adjustable class in BS EN 1335 covers at 400 to 510 mm (15.7 to 20 in).

A standard gas cylinder gives about 4 in (100 mm) of travel, so no single chair covers the whole 5.3 in (135 mm) spread. Manufacturers therefore pick a band and ship the cylinder to match: a short cylinder lands around 14.5 to 18.5 in (37 to 47 cm), a standard one around 17 to 21 in (43 to 53 cm), and a tall drafting cylinder around 22 to 32 in (56 to 81 cm). The cylinder is a 15 to 25 dollar part that determines whether the chair works, and it is replaceable, which almost nobody realises. Two rows in that table are routinely misread. Effective seat depth is not the length of the cushion, it is the distance from the front face of the backrest to the front edge, and on a chair with a thick lumbar pad that can be 2 in (50 mm) less than the pan measures. Armrest inside width is set by shoulders rather than hips, which is why arms at 18 in (46 cm) apart feel pinching to someone the same seat suits perfectly.

A 20 in seat sits on a 27 in base#

The seat is 20 in (51 cm) across. The base is 26 to 27 in (66 to 69 cm), because a five-star base has to reach beyond the seated centre of gravity in every direction to pass the stability tests in ANSI/BIFMA X5.1. That base is the dimension that has to clear the desk pedestal, the radiator, the door swing and the walkway, and it is the one drawn wrong on nearly every furniture plan, where chairs are shown as neat 20 in squares.

The chair occupies a 27 in circle, and about 26 in of the 42 in behind the desk is taken up before anyone moves.

Work the depth backwards from the desk edge. A seated body sits with the abdomen 2 to 4 in (50 to 100 mm) from the desk edge, which puts the seat centre about 13 in (33 cm) behind it. The base reaches another 13.5 in (34 cm) behind the seat centre, so 26 in (66 cm) of floor is consumed before the chair has moved at all. Standing up needs another 12 to 18 in (30 to 46 cm) of push-back, which gives 38 to 44 in (97 to 112 cm) from desk edge to whatever is behind. Call it 42 in (107 cm) as a working figure, 36 in (91 cm) as the squeeze where you have to stand sideways, and 48 in (122 cm) where somebody has to walk behind a seated person, which is the same allowance walkway and circulation widths at home gives for a primary route. Arms at 27 in against a desk apron at 26 in#

Armrests are where chair dimensions and desk dimensions meet, badly. Put the seat at 18 in (46 cm) and the arms at 9 in (23 cm) above it and the top of the arm pad is at 27 in (69 cm). The underside of a desk apron is typically 25 to 27 in (64 to 69 cm), and a desk with a drawer box under the top can be 24 in (61 cm). The arms do not go under, so the chair parks 8 in (20 cm) further out than it should and the reach to the keyboard grows by the same amount.

Height-adjustable arms with 3 to 4 in (75 to 100 mm) of travel solve this; fixed loop arms never do. The knee hole itself wants 24 in (61 cm) of clear width and at least 15 in (38 cm) of depth at knee level, which desk dimensions sets out along with the widths desks are actually made in. Short cylinders, drafting stools and castors on carpet#

User height. Anyone below about 5 ft 3 in (160 cm) should be shopping for a short cylinder and a seat depth of 15 to 16 in (38 to 41 cm), not adjusting a standard chair down to its limit. Anyone above 6 ft 2 in (188 cm) needs a tall cylinder, a 19 in (48 cm) seat depth and a backrest 26 in (66 cm) or higher.

Children. A child's chair follows the same rule with different inputs, and because a child grows 2 in (50 mm) a year the adjustment range matters more than the starting height: kids desk and chair heights by age gives the pairs.

Drafting chairs. A drafting stool takes the seat to 22 to 32 in (56 to 81 cm) for a counter-height or standing-height surface and adds a foot ring at about 8 to 10 in (20 to 25 cm) below the seat. The base grows to 28 in (71 cm) across for stability at that height.

Gaming and screen-first setups. Seat and base dimensions are identical, but the screen is usually further away and lower, and the chair is used reclined, which shifts eye height. The interaction between recline angle and monitor position is worked through in monitor distance, height and position and in gaming setup dimensions.

Floor type. Castor choice is counter-intuitive: hard wheels for carpet, soft polyurethane for wood and tile. Diameter matters more than material for crossing a rug edge or a threshold. A chair mat adds 3 to 5 mm (1/8 to 3/16 in) of height and needs to extend the full 42 in (107 cm) behind the desk edge, or the rear castors drop off the back of it every time you push away.

How wide is an office chair with the base included?

Twenty-six to 27 in (66 to 69 cm) across the castors, which is wider than the seat and wider than most people allow for. Executive chairs with padded arms run 28 to 30 in (71 to 76 cm). The base has to be wider than the seat for stability, so the number that matters for a door, a knee hole or a corridor is always the base, never the seat.

What seat height do I need for a 30 inch desk?

About 20 to 20.5 in (51 to 52 cm), because seated elbow height sits 9 to 10.5 in (23 to 27 cm) above the compressed seat and the elbow should meet the desk surface. That is at the very top of a normal cylinder. Anyone under roughly 5 ft 9 in (175 cm) who sets a chair that high has to add a footrest, and the alternative is cutting the desk down.

How deep should an office chair seat be?

Fifteen to 18 in (38 to 46 cm) of effective depth, meaning the usable distance from the back support to the front edge. It should be 1 to 2 in (25 to 50 mm) shorter than the buttock to popliteal length of the shortest user, which is around 17 in (43 cm) for a 5th percentile woman. A seat slider giving 2 to 3 in (50 to 75 mm) of travel is the cheapest way to fit two people.

Are gaming chairs a different size to office chairs?

Mostly taller and narrower. Racing-style seats use bolstered side wings that cut usable seat width to 15 to 17 in (38 to 43 cm) even though the shell measures 21 in (53 cm), and the backrest runs 32 to 34 in (81 to 86 cm) high against 20 to 26 in (51 to 66 cm) for a task chair. Base diameter and seat height ranges are the same, because they use the same cylinders and bases.

Should office chair castors be hard or soft?

Hard castors on carpet, soft polyurethane castors on wood, vinyl and tile, which is the opposite of what people assume. A hard wheel of 50 to 65 mm (2 to 2.5 in) diameter rolls over pile instead of ploughing it, while a soft wheel spreads the load and protects a hard floor. Larger diameter always rolls more easily over a transition or a rug edge.

Do office chairs fit under a 29 inch desk with the arms up?

Often not. With the seat at 18 in (46 cm) and armrests 9 in (23 cm) above it, the top of the arm is at 27 in (69 cm), while the underside of a desk apron is commonly 25 to 27 in (64 to 69 cm). Measure the desk underside first, then buy arms that drop below it or that swing out of the way.
